The software package includes modules to be used in the area of the Port of Koper (vessel traffic):

  • harbour operations
  • arrival ship’s manifests and cargo manifests
  • INTTRA – Booking Request
  • INTTRA – Shipping Instruction

All modules are supported by electronic data interchange – harbour operations with the information system of the Port of Koper, and incoming manifests with the Customs Information System.

Port of Koper

The Port module is intended to support operations in the Port of Koper. All operating segments are supported, which means that the module can be used by freight forwarders dealing with goods, or by agents who are responsible for ships, or by carriers ordering wagons or containers for rail transportation. The module can quickly process vast quantities of data (e.g. when a ship arrives), clearly distribute the freight among forwarders, and easily create a chain of dispositions. For example, from a received allocation of cargo, it creates a disposition for additional operations, from this one an exit disposition is created, and from the exit disposition for a full container it creates an entry disposition for an empty container.

The software module contains these two segments:

  • SDIS – manipulation of goods:
    • dispositions
    • warehouse documents
    • warehouse receipts
    • records
  • NPID – operations related to means of transportation:
    • ships
    • containers
    • wagons
    • work orders
    • berth plan
    • operational plan

Main features:

  • functionality to speed up entry:
    • copying consignments and individual lines
    • copying warehouse documents
    • transmission of container data from the last movement or disposition
    • search for an exit authorisation (MRN) after an incoming customs declaration (with AIS module installed)
    • Creation of an empty container layout from an Excel file prepared by Luka
  • creating a document chain:
    • from the input disposition through the extra work disposition to the output disposition
    • iz izhodne dispozicije za polne zabojnike v vhodno dispozicijo za prazne zabojnike
  • formal control at the time of storage
  • detailed content control prior to computerised exchange
  • fast distribution of freight between shippers
  • creation of an ECS manifest from the output disposition data
  • computerised data exchange with the Port of Koper and Slovenian Railways on the basis of prescribed messages
  • quick entry of previously tabulated data using the copy/paste function
  • all transcribed extracts
  • data capture from external sources, e.g. from the business information system from the business information system
  • integrations with other software modules
  • link to the position folder

Arrival ship's manifests and cargo manifests

Arrival manifests are designed to electronically announce the arrival of ships and goods they are carrying. Goods entering the free zone of the Port of Koper have to be presented to a customs authority in accordance with the Customs Code (the presentation of goods means that the customs authorities are notified that the goods have arrived at the customs office and that they are ready and available for customs inspection). Goods arrived by ship, which are to be unloaded in the free zone, have to be presented by filing in an electronic ship’s manifests.

The presentation of goods takes place in two steps:

  • notification of the ship’s arrival – presentation of the ship’s manifest
  • announcement of the cargo – the presentation of the cargo manifest

Main features:

  • data entry adapted to the type of manifest
  • the input fields are adapted to the required input, e.g. amount, branch, number/year …
  • computerised exchange of data with Customs on the basis of prescribed messages
  • all transcribed extracts
  • additional checks to facilitate business review
  • preparation of a commodity manifest with data from the disposition
  • data capture from external sources, e.g. from the business information system from the business information system
  • quick entry of previously tabulated data using the copy/paste function
  • integrations with other software modules
  • link to the position folder

INTTRA – Booking Request

The module allows Container Booking – it is possible to send a booking request to more than 50 shipowners. It is both simple and efficient to use, as the same form is used for all shipowners (regardless of the requirements of individual shipowners).

Main features:

  • sending bookings and receiving booking confirmations in one place for more than 50 shipowners
  • simple, user-friendly and fast to use
  • reducing costs (related to manual entry: code lists are available instead of manual entry, storage controls are built-in)
  • cloning of older bookings, production by data transfer
  • the possibility to print the reservation (with on-screen preview) and to send it by email
  • faster process execution (instant display of changes in the status of individual bookings)
  • better control and cost reduction
  • in addition to sending reservations, it is also possible to send reservation corrections and cancellation requests
  • the possibility to create transport instructions (for confirmed bookings)

INTTRA - Shipping Instruction

The module allows you to enter Shipping Instructions, which can then be sent to more than 50 ship owners. It is both simple and efficient to use, as the same form is used for all shipowners (regardless of the requirements of individual carriers).

Main features:

  • sending transport instructions to more than 50 shipowners in one place
  • simple, user-friendly and fast to use
  • reducing costs (related to manual entry: code lists are available instead of manual entry, storage controls are built-in)
  • the possibility to clone older transport instructions
  • Creation of transport instructions by downloading data from the port disposition (all data on individual containers is downloaded from the port disposition)
  • the possibility to send corrections to transport instructions
  • support for dangerous goods, for bulk goods, for goods divided into several packing levels and other container-specific features
  • faster process execution (instant display of changes to the status of individual instructions)
  • better control and cost reduction
